SIMRS Pharmacy & Medicine Stock Module: FEFO Batches and E-Prescriptions
The Pharmacy & Medicine Stock module manages the journey of medicine through a healthcare facility: from the medicine master, incoming and outgoing stock, batches and expiry dates, to dispensing based on prescriptions. The goal is simple: the medicine needed is available when needed, does not expire on the shelf, and every movement can be traced.
Medicine master and formulary
All medicines are recorded in a structured medicine master and formulary: name, unit, and the basic information other modules use. A clean master becomes the single reference for prescriptions, stock, and purchases, so medicine names are not recorded differently across clinics and pharmacies.
Batches, expiry dates, and stock logs
Medicine stock is managed per batch using the FEFO method (First Expired First Out): medicine with the nearest expiry is prioritized for outgoing use first, reducing the risk of expired medicine on the shelf. Every stock movement (incoming from purchases, outgoing from dispensing, or adjustments) is recorded in a stock log with the transaction source and time of recording. With traceable logs, the pharmacy team can quickly answer “where did this medicine come from and what was it used for”.
E-prescriptions and automatic stock deduction
Prescriptions written by doctors in the EMR are forwarded electronically to the pharmacy. When the pharmacist dispenses the medicine, stock is deducted automatically from the prescription. No retyping and no mismatch between prescription and outgoing stock. Dispensing history is stored, and this flow is also the basis for recording narcotic medicines according to applicable regulations.
Clinical decision support when prescribing
When doctors write prescriptions, the system supports basic safety checks such as allergies, drug interactions, duplicate prescriptions, and dosage. This support helps reduce preventable events before medicine reaches the patient, aligned with patient safety workflows.
Who uses this module
Pharmacists manage stock, batches, and dispensing; doctors write electronic prescriptions; procurement staff use stock data to plan purchases; and management monitors medicine availability and movement through reports. Access is role-based according to each role’s responsibility.
One data set, one flow
Pharmacy sits in the middle of a flow connecting doctors, cashiers, and procurement. Prescriptions arrive from the EMR and become the basis for dispensing; the cost of dispensed medicine enters the patient’s invoice; and reduced stock feeds reorder planning together with the procurement module. Stock logs record where medicine came from and where it went, so audit questions (including for tightly controlled medicines) can be answered from one place without opening several separate notes.
Getting started with this module
The module can start from the facility’s core needs first, then grow in phases. In line with HealthCore’s implementation principles. In the early phase, the facility team prepares the medicine master and formulary, defines stock and dispensing patterns, then trains pharmacists on that flow. Role-based training, go-live support, and data migration are quoted separately from subscription pricing, so the facility starts from the highest-impact flow without changing every process at once.
